Each Task has an overall Status to indicate the stage the work is at. Additionally, Status Events can be recorded to represent any delays and improvements made to a Task over time.

The Status of a Task will impact how it behaves when the dates are edited by a user.

Description

Planned

Planned Tasks are those not yet promised to be delivered. This is the default state of all tasks

Promised

Promised Tasks are committed by users during the Publication process.

Changes to Promised Tasks will trigger Smart Status to track delays.

Completed

Completed Tasks are those determined to have verified start and end dates.

Tasks may be marked as Completed through user based statusing. Promised Tasks that were due to be complete at Publication will be Assumed Complete

Backlog

Tasks imported but not yet merged to the plan by users exist in the Backlog.

The Backlog is a staging place between an import and the lookahead plan.

Status Events

For each working day of a Task, Status Events can be recorded to indicate performance. Each Status Event includes the following data:

Name

Reason for the change. This can be configured by each project individually and typically contains reasons such as "Awaiting Access".

Timestamp of when the event was recorded

Promised

By setting a Promise Date, the dates of upcoming tasks are committed. When the dates of a Promised task change, Smart Status is triggered.

A Promise Date can only be set when the plan is Published.

If a predecessor of a Promised task is moved, the Promised task will not automatically schedule.

Promised Period

By default, the promise date is one week from your publication’s next due date. This can be customised.

The Promised Date is indicated on the Gantt as a purple line, as hatched tasks bars and as a purple tick in the start and end date columns.

Tasks from Today until the Promise Date are given the status of Promised. Promised tasks in the past that are Promised for a second time will become Assumed Completed.

Clearing Promised Flags

Promised flags can be cleared to remove the Promised status from your tasks.

Tasks up until the chosen date will remain Promised. Tasks after the selected date are returned to the status of Planned.

Smart Status

If a delay has been automatically detected, the Smart Status feature will appear in order to capture the reason for the delay.

Smart status is triggered when you edit the dates of a task with the status of Completed, Promised, or if it has any previous Status Events recorded.

A delay reason will need to be entered in order for the date change to be confirmed.
